Notifications
We use the program Events Manager for our events, bookings, and associated emails. Built in is a way to send single emails for a booking, a cancellation, a comment, or a reminder, but there is no automated notification system for new events. Our volunteer (and weary) webmaster figured out another way to send out emails when a new event was published, but there are limitations:
- We can either pick to send it to all members or just some members. If we choose some members, we have to manually add each person (or remove them or change them) which is a lot of work for a volunteer.
- We can add everyone, but that has its own challenge. When an event is published the website will try to send out 200 emails but email clients (Gmail, Outlook, etc.) may see the email as Spam. For some people it will end up in their Spam folder, for some it will end up in the inbox, and for some it may not arrive at all.
- A lot depends on what email program and what settings each person has.
- Anyone can Whitelist the email sender which marks the sender as okay and not spam. How to whitelist a sender can be found by using the internet to look it up (ie Gmail whitelist, etc.).
- The sender is wordpress@kamloopshikingclub.net
Or, Kamloops Hiking Club can invest in an email management tool. There are many of them to choose from, and each one has an annual fee. The Club could also use the program to send out notices, reminders, etc. But, this is a decision for the Board to invest in or not. Additionally, configuring an email program is very technical, so an email volunteer tech would be needed.
In the meantime, watch for the New Event Published emails and then whitelist the sender.
Sending 200 emails is not working properly and until an email service is put into place, the new Event published Notifications are turned off.
